Who provides your service

We are TypeScience, trading as Vet Answering Line, and these terms govern your use of our AI receptionist service. In these terms, "you" means the business that signs up for an account. "We" and "us" mean the operator providing that service.

Our service is sold online through this website. You can test the browser demo without signing up, then use email sign-in and an onboarding chat to open your account. Questions about your subscription or these terms can be sent to support@vetansweringline.com.

What your receptionist does

Your receptionist answers as your business once you forward calls to it. You choose whether to forward all calls or only calls that reach you after hours, while your line is busy, or when nobody answers. You keep control of the forwarding arrangement for your clinic.

The service uses your onboarding answers and website content to learn your hours, services, price policy and urgent-call instructions. It takes messages, asks intake questions, flags urgency and can book appointments into Google Calendar. You can instead have it collect appointment details for your team to call back.

Your business information and instructions

You are responsible for the accuracy of the information you give the AI, including your greeting, policies and call-handling instructions. Your clinic decides which services to describe, which requests need a callback and who receives urgent calls. Give the receptionist instructions that reflect what your team can actually provide.

Review those details when your hours, services or on-call arrangements change. You can change settings by telling the AI in plain words through your account. Its answers depend on the information you supply, so your team must review call summaries and keep a backup way to be reached.

Call disclosure and recordings

The receptionist states at the beginning of each call that it is a virtual assistant and that the call is recorded. These notices are part of the service and cannot be switched off. Your responsibility for the business greeting and policies includes keeping these required service notices in place.

Calls produce audio recordings, transcripts, summaries and caller-number information. Your dashboard lets you review calls, recordings and transcripts alongside usage and settings. We send call alerts through email and app push notifications, with an urgency tag and call details, and provide a daily digest by email.

Urgent calls and veterinary limits

Urgent calls follow the routing order your clinic sets. The receptionist can warm transfer a call to your on-call person, who hears a short summary and presses 1 to accept, or page that person. You are responsible for telling the service who should receive these requests.

The AI receptionist does not diagnose conditions or give medication or dosing advice. Vet Answering Line is not an emergency service or a replacement for 911. Urgency flags and transfers support your call-handling process; your team remains responsible for reviewing the information and maintaining another way to be contacted.

Monthly subscription and included usage

Your subscription costs $249 per month and includes 500 AI minutes. Additional usage costs $0.20 per extra minute. Overage minutes are billed monthly, and the dashboard shows usage so you can review how much of the service your business has used.

The subscription renews monthly until you cancel it online. Your plan is month to month, and the recurring charge continues while the subscription remains active. Review the included allowance and extra-minute rate before you request a free trial.

Free trial and conversion to a paid plan

The free trial lasts 14 days and is capped at 100 minutes. A card is required before call forwarding goes live. You can use the browser demo before opening an account to hear how the receptionist handles a fictional clinic's calls.

The trial converts to a paid subscription only with a card on file. We send a reminder email two days before conversion so you can review whether you want to continue. Once the subscription is paid, the monthly renewal, usage and cancellation terms described here apply.

Cancellation and calls after a plan lapses

You can cancel online in one click, and cancellation takes effect at the end of the paid month. Cancelling stops the subscription from renewing after that period. Your team should also review its phone-forwarding setup and backup contact details when ending service.

If a plan lapses, calls are directed to your backup number or voicemail. Keep that destination current so callers have a route to leave a message or reach your business after the plan ends. After account closure, transcripts and summaries are deleted within 30 days.

Consent-based follow-up calls

The optional lead follow-up service calls people who submit your web form and tick a consent box naming your business. You are responsible for the consent records for those calls. This add-on cannot be used for cold calling, list dialing or purchased leads.

Follow-up is within about a minute of form submission, during 8 a.m. to 8 p.m. in the recipient's time zone. There is one attempt plus one retry, and opt-outs are honored at once. The consent requirement applies to this optional follow-up service even if you already use the receptionist for incoming calls.

Acceptable use and suspension

Illegal use, cold calling, robocalling, impersonation and harassment are prohibited. You must not use the account or its optional follow-up calling to carry out those activities. Use involving protected health information is not permitted; our service is for the veterinary business use described on this website.

We may suspend service for abuse. Your business remains responsible for its instructions, greeting and policies, including how it directs the receptionist to handle callers. Keep your backup contact route available alongside the service so your team has another way to receive requests.

How caller data is processed

For calls to your clinic, your business decides what information is collected and why. We process caller information on your behalf to provide the receptionist service. These data processing terms form part of your service agreement and apply to caller data handled through your account.

That information includes call audio, recordings, transcripts, summaries and caller numbers. Your intake questions and business instructions determine the information the receptionist asks callers to provide. Your team is responsible for reviewing what it asks for and the resulting summaries as part of managing its own calls.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

Account, onboarding and website information

We collect account details such as your name, business, email and phone number, along with your onboarding answers. We also use website content you point us to when teaching the receptionist about your clinic. Billing is handled by our payment processor, and we do not store full card numbers.

Demo calls and chats on this site are recorded and transcribed to show the result. Our website uses privacy-friendly analytics and Google Analytics, which uses cookies. These website and account activities are distinct from the caller information we process for your business.

Providers that support the service

We use service providers for hosting and storage, telephone carriers, AI voice and text models, payment processing, email delivery and analytics. Their categories describe the outside services involved in operating the receptionist, managing accounts and delivering information back to your clinic.

Our AI model provider, OpenAI, does not use our API data to train its models by default. We never sell personal information and never use callers' data for our own marketing. These restrictions apply to the caller information described in these terms, including recordings, transcripts and summaries.

Retention and deletion

Your business chooses whether recordings are kept for 30 or 90 days, after which they are deleted. Transcripts and summaries are kept while the account is open. They are deleted within 30 days after the account closes, or on request.

The recording choice and the account-closure period apply to different records: recordings follow the selected retention period, while transcripts and summaries follow the account and request rules. Contact privacy@vetansweringline.com about deletion requests or questions concerning the information associated with your account or a call.

Privacy requests and age limits

You can request access, correction, deletion or an opt-out by emailing privacy@vetansweringline.com. Callers may ask your business or contact us about their information. We handle requests concerning data processed for your clinic in light of your role as the business deciding what is collected and why.

The service and website are not for children under 13. Our privacy policy gives further information about collection, retention and privacy requests, with changes dated on that page. Privacy questions go to the privacy email address; subscription and service questions go to support@vetansweringline.com.

AI mistakes and limits of liability

The service is provided as is, and the AI can make mistakes. You are responsible for reviewing summaries and keeping a backup way to be reached. A call summary, urgency tag or appointment entry should be reviewed as part of your clinic's handling of the request.

Our liability is capped at the fees you paid in the prior 12 months. This cap is part of the terms for the service described here, including its call handling and account use. It does not change your responsibility for your business information, policies or follow-up consent records.

Governing law and terms changes

These terms are governed by the law of California. We notify you of changes to the terms by email. Keep the email address associated with your account current so your business can receive notices concerning its subscription and service terms.

The update date at the top identifies this version of the terms. For help understanding your account, cancelling online or reviewing how the service handles your calls, email support@vetansweringline.com. To try the receptionist with a fictional clinic, use the browser demo. There is no phone sales line.
